Notion is the most flexible workspace tool in mainstream use: docs, databases, wikis, project trackers and now a genuinely useful AI layer in one product. That flexibility is both the reason teams adopt it and the reason some abandon it — Notion gives you a building material, not a finished process, and the teams that succeed with it are the ones that impose structure deliberately.

Best for

• Small and mid-sized teams that need one flexible workspace rather than five specialised tools.
• Company wikis and documentation — Notion's editor and permissions are strong here.
• Editorial and content operations — database views over a content calendar are its best-fit use case.
• Solo professionals — the free personal plan is unusually generous.

Not ideal for

• Teams needing hard project-management rigour — dependencies, critical paths and resource levelling belong in a dedicated PM tool.
• Very large structured datasets — Notion databases slow down well before a real database does.
• Offline-first workflows — offline support exists but remains a weak point.
• Organisations that need strict, opinionated process guardrails out of the box.

Independent verdict

Notion's editor is the best-in-class part of the product: blocks, slash commands, inline databases and synced blocks make it fast to write documentation that stays connected to the work it describes. The database model — properties, relations, rollups, filtered views — is powerful enough to replace a lot of spreadsheets, and this is where most of Notion's real leverage lives.

The failure mode is predictable: without an owner enforcing structure, a Notion workspace degrades into an unnavigable sprawl of half-finished pages. This is an organisational problem that Notion enables rather than causes, but it is a real cost of adoption and worth planning for with templates, naming conventions and a periodic archive pass.

Notion AI in practice

Notion AI's strongest surface is search and question-answering across a workspace you already trust, followed by summarising long documents and drafting from existing context. It is weaker as a general-purpose writing model than dedicated assistants, and the quality of its answers is bounded by the quality of your workspace: a messy wiki produces confidently wrong summaries. Check whether AI is bundled into your plan tier or billed as an add-on, since Notion has changed this.

Migration and lock-in

Notion exports to Markdown, CSV and HTML, which covers the basics, but complex relational databases, rollups and synced blocks do not survive export intact. Treat Notion as a system of record only for content you would accept re-authoring, and keep genuinely critical structured data — customer records, financial data — in purpose-built systems.

Verdict

Notion is the right default workspace for most small and mid-sized teams, and an excellent documentation and content-operations tool. Appoint an owner for workspace structure before rollout, keep mission-critical structured data elsewhere, and confirm how AI is priced on your plan.
